Privacy Policy

How Algora Systems collects, uses, stores and protects personal information when you visit this website or contact us about a project.

Version 2.0Effective 4 September 2026Last updated 4 September 2026

01Who we are

This website is operated by [Registered legal entity name], trading as Algora Systems ("Algora Systems", "we", "us"), registered in India under company number [Company registration number], with its registered office at [Registered office address].

For the purposes of applicable data protection law we are the controller of the personal information described in this policy. Where we process personal data on behalf of a client under a signed engagement, we act as a processor and the terms of that agreement take precedence over this policy.

Questions, requests and complaints about this policy should be sent to contact@algorasystem.com.

02What this policy covers

This policy applies to this website and to enquiries you send us through it. It does not cover systems we build and operate for clients under a separate contract, third-party websites we link to, or your own use of platforms such as LinkedIn or GitHub where we maintain a presence.

03Information we collect

We collect only what you choose to send us, plus a small amount of technical information needed to deliver and protect the site. We do not operate advertising trackers, and we do not buy or enrich contact data from third-party brokers.

If you submit the contact form, we collect: your name, work email address, and your message. Phone number and company name are optional.

If you complete the proposal wizard, we collect: your name, work email address, company or organisation name, optional phone number, industry sector, the service areas you select, your description of the operational challenge, any modules and integrations you select, your infrastructure preference, and your indicated timeline and budget bracket.

When you submit either form we also record the page you submitted from and your browser user-agent string, which helps us diagnose faults and identify automated abuse.

Your IP address is processed transiently in server memory to enforce submission rate limits. It is not written to our database or to our submission logs, and it is discarded within fifteen minutes.

Please do not send confidential material through these forms

The website forms are intended for initial enquiries. Do not include trade secrets, personal data belonging to your own customers, credentials, or regulated data. We will agree a secure channel and a confidentiality agreement before you share anything of that nature.

05Information stored in your browser

This website does not set any cookies. It uses your browser’s local and session storage for a small number of functional purposes, described in full in our Cookie & Storage Policy. Note that your saved proposal draft is held in your own browser and is not transmitted to us until you submit the form — clearing your browser data will delete it.

06Who we share information with

We do not sell personal information. We share it only with the service providers needed to run this website and respond to you, each under contract and only for the purpose described:

ProviderPurposeInformation involved
SupabaseHosted database storing enquiry and proposal submissionsAll information you submit through the forms, plus page path and user-agent
Google FontsDelivers the typefaces used across the siteYour IP address and user-agent, disclosed to Google when your browser requests the font files

07International transfers

Submissions to this website are stored on Supabase infrastructure in the Asia Pacific (Singapore) region. Google Fonts is served from Google’s global content delivery network. This means your information may be processed outside the country in which you live.

Where personal data is transferred out of the UK, EEA or another jurisdiction with transfer restrictions, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses together with any additional measures required.

Prefer your data stayed in a specific region?

Tell us before you submit anything and we will arrange an alternative channel. Write to contact@algorasystem.com.

08How long we keep it

RecordRetention period
Enquiries that do not lead to an engagement24 months from your last contact with us, then deleted

Records relating to an active engagementFor the term of the engagement and 7 years afterwards, for contractual, tax and accounting purposes
Rate-limiting dataHeld in memory only, discarded within 15 minutes
Browser storageAs set out in the Cookie & Storage Policy; you can clear it at any time

Where we are required to retain records for a longer period by law, we will keep only what that obligation requires and will restrict its use to that purpose.

09How we protect it

  • All traffic to this website is encrypted in transit using TLS.
  • Submissions are written to a database with row-level security enabled, so the key used by the website can add new enquiries but cannot read existing ones back.
  • Access to stored enquiries is limited to the personnel who need it to respond to you.
  • The submission endpoints are rate limited and screened for automated abuse.
  • We keep an encrypted local copy of submissions so that an outage at our database provider cannot cause your enquiry to be lost.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affects your personal information and is likely to result in a risk to your rights, we will notify you and the relevant supervisory authority as required by law.

10Your rights

Depending on where you live, you may have some or all of the following rights over your personal information:

  • Access — obtain confirmation of whether we hold information about you, and a copy of it.
  • Rectification — have inaccurate or incomplete information corrected.
  • Erasure — ask us to delete information where there is no continuing lawful reason to keep it.
  • Restriction — ask us to limit how we use your information while a concern is resolved.
  • Portability — receive information you gave us in a structured, machine-readable format.
  • Objection — object to processing carried out on the basis of our legitimate interests.
  • Withdraw consent — where we rely on consent, withdraw it at any time without affecting earlier processing.
  • Complain — lodge a complaint with your data protection authority.

To exercise any of these rights, write to contact@algorasystem.com. We will respond within 30 days. We may ask for information to verify your identity before acting, and we will not charge a fee unless a request is manifestly unfounded or excessive. Exercising these rights will never result in you receiving a worse service from us.

We are established in India, so the Digital Personal Data Protection Act, 2023 applies to our processing, and you may refer an unresolved complaint to the Data Protection Board of India. If you are in the UK or EEA, you may also complain to your national supervisory authority.

11Children

This website is intended for business audiences and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.

12Changes to this policy

We review this policy whenever the way we handle information changes, and at least annually. The version number and effective date at the top of this page tell you which version applies. Where a change materially affects your rights, we will take reasonable steps to notify you directly.

Questions about this document

Write to us and we will respond within the timeframes set out above.
